Two access modes

Coventra exposes two practical collaboration modes: full-project access and screening-only access. Use full-project access for people who need to work with studies, extraction, analysis, quality, exports, or project settings. Use screening-only access for reviewers who only need to screen records.

  • Full-project members count against standard or premium collaborator limits depending on the project and pass setup.
  • Screening-only members do not receive broad project access and are capped separately at 15 per project.
  • Project owners and leads should periodically remove members who no longer need access.

Project owner and lead responsibilities

  • Create or configure projects.
  • Invite and remove team members.
  • Assign reviewers and project tasks.
  • Resolve screening conflicts when acting as the appropriate lead.
  • Manage premium allocation and collaborator premium passes where the plan permits.
  • Review unresolved comments, activity, and audit information before handoff.

Screening-only reviewer experience

A screening-only reviewer should expect a focused workflow: assigned records, title/abstract screening, full-text screening where assigned, decision notes, exclusion reasons, and conflict-related discussion when visibility rules allow it.

  • They can receive screening assignments.
  • They can participate in decision discussions that they are allowed to see.
  • Blind mode hides peer decisions and discussions until an include/exclude disagreement exists, unless the user is a lead.
  • They should not expect access to extraction, analysis, billing, or broader project settings.

Premium collaborator passes

On premium projects, a plan can allow a limited number of full-project collaborators to receive premium access. The pass is project-scoped. It does not make the collaborator's own unrelated projects premium.

  • Starter and Scholar: 6 full-project collaborators per premium project.
  • Researcher Monthly: solo premium only, no full-project collaborator premium passes.
  • Team Monthly: 7 full-project collaborators per premium project.

Categorized assigned work

Assigned work is grouped so reviewers do not scroll through one long list of mixed tasks. Categories reflect the kind of work expected.

  • Screening: title/abstract decisions.
  • Full-text screening: eligibility decisions after full reports are available.
  • Conflict resolution: studies needing lead review or consensus action.
  • Extraction: data extraction or verification work.
  • Risk of bias: quality assessment work.
  • General: project tasks that do not fit a specialized bucket.

Notifications

Coventra sends coordination notifications for actions that need attention, such as invitations, assignments, mentions, and opened quality conflicts. Routine analysis completion is visible inside the app rather than treated as an email event.

Comments and discussions

  • Screening-decision comments support questions and decision rationale.
  • Risk-of-bias conflict comments support evidence clarification and resolution.
  • Use the comment surfaces visible in the active workspace; availability depends on the workflow.
  • Use comments for questions, evidence clarification, and decision rationale. Use task descriptions for work instructions.
