Use Coventra safely and protect review data

Practical guidance on accounts, project access, PDFs, AI suggestions, exports, and responsible handling of research data.

Account and access safety

  • Use a unique password and keep your login secure.
  • Invite users with the least access level they need.
  • Remove collaborators when they leave the review.
  • Use screening-only access for reviewers who do not need extraction, analysis, billing, or settings access.
  • Do not share accounts between reviewers.

Data you should avoid uploading

Systematic reviews often use published study reports, but teams can still accidentally upload sensitive material. Avoid uploading personal health information, private patient data, unpublished confidential material, or third-party documents your team is not allowed to process.

AI and automation safety

Coventra can provide optional suggestions where configured, but suggestions require human review. ML can rank screening records but never decides for reviewers.

Practical tips
  • Verify every AI-suggested value against the source.
  • Do not paste confidential material into fields intended for external AI processing unless your team has approved that workflow.
  • Use notes to record why you changed or rejected a suggestion.

Export safety

  • Open exported files before sharing them.
  • Check that files contain only the intended project and data scope.
  • Store manuscript and audit exports in your team's approved repository.
  • Keep a final export set with the protocol, analysis settings, and review decisions.

Troubleshooting access issues

  1. Confirm you are logged in to the correct account.
  2. Confirm the active project in the workspace.
  3. Ask a project owner to check your access mode and role.
  4. If a premium feature is missing, check the active project's premium status.
  5. If loading fails, refresh after a short wait and report the exact error and page.
